What the Fault Form Cannot Do
What the Fault Form Cannot Do
Report a fault is good at one job. It turns a problem in a ManjeProp house into a ticket with a reference, a category, a severity and, if you attach them, photographs. Staff can assign that ticket, log a repair, and close it with evidence.
It is a poor tool for everything else people try to stuff into the description box. Using it for those things delays the flood two tickets down.
It cannot be a lease
The form will not end a tenancy, change a roommate, grant a sublet, or rewrite a notice period. Those conversations go in writing on the channel the lease names, or through an enquiry if you are not yet in occupation.
A ticket that says “I am leaving on Friday” is not notice.
It cannot be a bank
It will not reverse an EFT, mark rent paid, release a deposit, or accept a new banking account from a WhatsApp. Paid is a bank fact on an invoice. Deposit refunds are a statutory and lease process with inspections and receipts.
If someone messages new bank details, phone +27 60 313 6961 on the number from the site, not from the message.
It cannot be a viewing desk
It will not reserve a bed, hold a room, or schedule a Saturday walk-through. That is the properties enquiry. If you send a fault that is actually “do you have a room near campus,” you have not reserved anything and you have distracted the plumber queue.
It cannot be a court or a Tribunal
It will not evict a housemate, decide a noise case, or rule on a deduction. We will still read “I do not feel safe.” If you are in danger, SAPS first. Security tickets are for locks, breaches and immediate risk, not for a novel.
Legal letters need qualified review. The form will not draft them.
It cannot diagnose from inside a board
The electricity checklist tells you not to open the DB board. The form cannot talk you through a live circuit. It cannot approve a housemate who “does electrical.” It cannot replace a registered electrician.
If you need that person, describe the rooms, the smell, the heat, and stay away from covers.
It cannot see a unit you did not name
Without a property and a room, the ticket is a rumour. The form cannot infer Room 4 from your student number. Do not paste an ID to “help us find you.”
It cannot store your documents
Do not upload a smart ID, a passport, a bank statement or a full lease pack. The attachment field is for photos of fittings and the occasional PDF of a contractor document you were asked for. Identity documents have another channel with a retention rule.
It cannot queue while you are offline
If the page fails, the report is not sitting in a magic backpack on your phone. Phone if it is dangerous, then send again when the page works. The Android wrapper around /manage/ is for staff. It is not an offline tenant inbox.
It cannot close itself with a thumbs-up
You will get a reference. That is the start. Work happens, a repair is logged, the ticket closes. If the same leak returns, quote the old number. The form cannot remember a voice note from March.
It cannot replace a second meter photo
If staff ask for a utilities reading, the form can carry the picture. It cannot invent the previous reading, download the municipal account, or decide who showered. Two dated photos on the same serial are still a human job.
It cannot be a lost-and-found for keys
Describe what is missing and whether you are locked out. The form will not recut a key from a photograph and it will not publish a picture of your remaining set. Staff decide recut versus replace.
What it can do, again
Name the house and the room. Choose a category. Choose a severity that matches danger, not mood. Describe what is wrong, where, since when. Attach two photographs. Send. Keep the reference.
That is how a Durban student house gets a plumber instead of a group-chat legend. The form is a door, not a whole property company. Walk through it for the broken thing. Use the other doors for money, viewings and paper.
Use the fault form for things that are broken or unsafe. Use properties to enquire. Use +27 60 313 6961 when danger will not wait for a page to load. Use 10111 if people are at risk.
