How a Booking Overlap Warning Works
How a Booking Overlap Warning Works
PropertyCare will let you save a booking that clashes with another booking on the same room. It will also tell you that you just did that. The message is a warning, not a lock. ManjeProp treats it that way on purpose. A computer cannot see a mattress on the floor. A person still has to.
If you work the desk at /manage/, this is what that yellow sentence actually means.
What the desk compares
A booking has a unit, a start date and an end date. When you save, the system looks for other bookings on that same unit whose dates cross yours. Cancelled rows should not be the problem you are solving. Live ones are.
If it finds a clash, you still get a booking reference. The success text is along the lines of: booking saved — but heads up, it overlaps an existing booking for this room. That is the whole automation. No one is evicted. No listing is taken down by the warning alone.
Why it does not hard-block
Student houses in Durban are messy at the edges. A tenant might be leaving on the 31st and a parent wants to drop bags on the 30th. A holding row might be stale. A “requested” booking might never have been a real person. A hard block would freeze the diary until someone deleted data they were afraid to touch.
The warning puts the decision back on the person with keys. You can keep both rows while you phone. You can cancel the ghost. You can change a date. What you must not do is pretend you did not see the sentence.
Confirming is the dangerous click
Saving a requested booking is paperwork. Confirming it can mark the unit occupied for those dates and change what the public site shows. That is why we rehearse confirmations on test data, not on a live room at 23:00.
If you confirm over an overlap, you can advertise one bed to two households. The website will then lie with a straight face. Weekly, scan Properties for available units that are occupied, and Bookings for confirmed rows that stack.
How to read the overlapping rows
Open both bookings. Check:
- Status: requested, confirmed, occupied, cancelled, completed
- Names and numbers as they stand — do not paste ID numbers into the notes to “make it clearer”
- Whether a lease actually exists outside the desk. A booking is not a lease
- Whether anyone has paid a deposit that the bank has already shown
- Whether a ticket says the current occupant is staying on
Then walk the room or phone the current occupant on the number you already hold. If the room is still lived in, the new dates are not available, no matter what a parent offered to pay.
What staff should write
In the booking notes, write the decision and the date: “Overlap with BKG-xxxx. Room still occupied. New dates moved to 3 Feb.” or “Overlap was a cancelled viewing hold. Confirmed after physical check.”
Do not write the tenant’s identity number, passport number or student number. The booking reference and the unit name are enough for the next staff member.
What tenants and parents will see
You will not see the overlap warning. You will see a listing that is either available or not, and an enquiry form that is not a reservation. If two families were promised the same room, that failure started on the desk, not on the website.
If you are viewing and someone else is clearly still living there, say so on the enquiry form or call +27 60 313 6961. Do not start a fault ticket about occupancy unless something is actually broken.
Related mistakes that look like overlap
Publishing a listing from a demo property. Leaving a completed booking as occupied. Taking a cash holding deposit with no booking row at all. Confirming because the warning “always does that.” None of those are software bugs.
The calendar overlay on Tasks is also not a second booking system. It shows due dates and bookings. It does not sync to a phone calendar and it does not resolve a clash.
A short working rule
See a warning, open the other row, look at the bed, then choose. If you cannot look at the bed today, do not confirm today.
Owners who want a room advertised after a genuine vacancy still do the physical check in Vacancy Checks Before You Advertise a Room. The overlap tool is only the first tripwire.
Need a viewing, not a double booking? Use the properties enquiry. If the problem is a broken lock on a room you already occupy, use Report a fault or phone +27 60 313 6961.
