Contractor Access When You Are Out
Contractor Access When You Are Out
Plumbers do not work only at 18:00. Student timetables do not pause for a leaking trap. ManjeProp still needs a way into the room that does not involve a key in a plant pot and a code in a public ticket. This is how we arrange access when you will not be home.
The goal is a repaired fitting, not a second security incident.
Say on the ticket whether you can be there
When you send Report a fault, write one of: I can be present between these hours; a housemate named X (first name only) can open; please arrange a time; I cannot be there this week, use the staff key.
A phone that will ring is part of access. A number that goes to a parent in another province is not a doorbell.
If the leak is Emergency, we will not wait for your lecture to end. Write that you are out if you are out. We will still need a lawful way in.
What we will not do
We will not ask you to leave a labelled bunch under a brick. We will not ask you to message a gate code to an unknown number that claims to be “the plumber.” We will not tell you to open a DB board so the electrician “saves time.” We will not publish your class timetable on a ticket.
Staff should meet the contractor, or use a lockbox whose code is changed after the visit, or use a house key from the numbered register. The instruction goes on a channel that can die. It does not become a permanent note next to your identity number.
Housemates and guests
A housemate may open a shared bathroom. A housemate should not open your locked bedroom because a stranger asked. If the fault is in your room and you are away, say whether staff may enter with the registered key. If you refuse all access, say what date you will be back. A leak that is damaging the house will not wait forever for a preference.
Do not give a guest the only remote so they can “let the guy in.” Guests are not on the key register.
What the contractor should arrive knowing
Property name, unit, fault reference, the symptom, whether water is isolated, whether anyone is home. Photos you already sent. Not your ID. Not a story about your deposit.
If an estate or campus security wants ID at a vehicle gate, that is their rule for the visitor. It is not a reason to file a scan of the tenant on the repair.
After the visit
You should be able to see that the ticket moved: acknowledged, attended, repair logged, closed with a photo of the finished fitting. If you come home to a door that will not lock, that is a new Emergency access fault — phone +27 60 313 6961.
If you come home and work was not done, do not start a second poem. Quote the reference and say what is still wrong. Attach a new photo.
Staff: log who opened, who attended, what was replaced. If a lockbox was used, change the code. If a spare key left the office, it comes back the same day.
Privacy in the room
You do not have to leave your life on display. You should leave a path to the fitting. A desk covered in documents with ID numbers is how those numbers end up in a contractor’s camera roll. Put documents away. We will still photograph the trap, not your stationery.
Incoming inspection photos are not a licence to search a cupboard.
Shared bathrooms versus locked bedrooms
A plumber can often work a shared bathroom with a housemate present. A leak under your bed needs your door open. Say which it is. If you share a bathroom and you will be out, name the housemate who agreed to open that bathroom — first name is enough.
Do not leave your bedroom unlocked “just in case” for three days. That is not a plan. That is an incident waiting for a time.
Viewers
This article is not about viewings. Viewings are booked, and you should be told. If someone claiming to be a contractor arrives without a reference and without staff, do not open. Call the site number.
If you are a parent arranging access because your child is in lectures, you still do not send an ID scan to a plumber. You send the fault, the window, and a number that rings.
Access is a planned hole in the security of the house. Plan it. Then close it.
Send the fault, state your access window, and keep the reference. Report a fault · +27 60 313 6961 · new rooms on properties.
